Who we are

INFUSE Bodyworks is a sole trader massage therapy practice based in Coleraine, Northern Ireland, operated by Duncan. This policy explains what personal data we collect, why we collect it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Privacy and Electronic Communications Regulations (PECR).

What data we collect and why

Booking information

When you book an appointment, your name, contact details, and relevant health information are collected and stored in Cliniko, our practice management and booking platform. This data is necessary to provide treatment, manage your appointments, and fulfil our duty of care as a massage therapist. The legal basis is legitimate interests and, where health data is involved, provision of healthcare (UK GDPR Article 9(2)(h)).

Cliniko is operated by Cliniko Pty Ltd (Australia). As an Australian company subject to the Australian Privacy Act, and operating under adequacy-equivalent safeguards, your data may be processed outside the UK. Cliniko's own privacy policy is available at cliniko.com/policies/privacy.

Enquiries and direct messages

If you contact us by email or phone, we retain your name, contact information, and the content of your message for the purpose of responding to you and maintaining a record of that communication. The legal basis is legitimate interests.

Feedback

If you submit feedback via the feedback form (accessed by QR code), your message is delivered directly to Duncan and is not stored on any third-party platform. Positive feedback routes to Google Reviews; negative feedback is transmitted securely and treated confidentially. The legal basis is legitimate interests.

Cookies and third-party services

This website uses two third-party services that may set cookies on your device. Both are loaded only after you give explicit consent via the cookie banner.

• Google Fonts — used to load the Oswald and Open Sans typefaces. When loaded, your browser makes a request to Google's servers, which may record your IP address. See Google's Privacy Policy.
• Google Maps — an embedded map showing the clinic location. When loaded, Google may set cookies and record your IP address and browsing data. See Google's Privacy Policy.

If you decline cookies, the site continues to work normally using system fonts, and the Google Map is replaced with a static address. No cookies are set. Your preference is saved in your browser's local storage so you are not asked again on subsequent visits.

We do not use any advertising, analytics, or tracking cookies of our own.

How long we keep your data

Appointment and treatment records are retained for a minimum of 7 years from your last appointment, in line with recommended practice for healthcare records in the UK. Enquiry records are retained for as long as reasonably necessary, typically no longer than 2 years unless an ongoing relationship exists.

Who we share your data with

We do not sell, rent, or share your personal data with any third party for marketing purposes. Your data is shared only with:

• Cliniko — our booking and practice management platform (see above)
• Google — only when you consent to cookies (Google Fonts and Google Maps)
• Any authority we are legally required to disclose information to (e.g. HMRC, regulatory bodies)

Your rights

Under UK GDPR, you have the right to:

• Access — request a copy of the personal data we hold about you
• Rectification — ask us to correct inaccurate or incomplete data
• Erasure — ask us to delete your data where there is no lawful reason to retain it
• Restriction — ask us to restrict how we use your data while a complaint is resolved
• Portability — request your data in a structured, machine-readable format
• Objection — object to processing based on legitimate interests
• Withdraw consent — withdraw cookie consent at any time by clearing your browser's local storage or contacting us

Complaints

If you have a concern about how we handle your data, please contact us in the first instance. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

Changes to this policy
